Who is Flotilla built for?
Flotilla works with associations, member organizations, corporate teams, sports and education groups, and other organizations planning anything from small functions and executive retreats to large recurring events.
What kinds of venues can Flotilla source?
Hotels are a major part of the work, but they are not the only option. Flotilla can also source museums, arenas, retreat properties, meeting spaces, and other distinctive venues when they fit the event.
What happens after we submit a brief?
A Flotilla operator reviews the request and follows up for a complimentary consultation. Together, we clarify the event, priorities, and timeline before the search begins.
Can we upload an existing RFP?
Yes. Add your contact information, upload the completed RFP, and submit it directly. If you do not have an RFP, the guided brief helps Flotilla build the requirements with you.
Does Flotilla plan the entire event?
Full-service event planning is available. Planning, vendor management, production, logistics, and other work outside a qualifying sourcing engagement are scoped separately and will involve additional fees.
Rooms, booking, and contracts
How are room and attendee needs handled?
Flotilla considers peak rooms, total room nights, attendee experience, program schedules, and travel needs alongside the venue and meeting-space requirements.
Are room blocks always risk-free?
No. Room-block agreements can include pickup requirements, attrition, cancellation penalties, minimum-spend commitments, or other obligations. Flotilla reviews the terms with your organization so you understand the risks and responsibilities before signing.
Who signs and pays the hotel or venue?
The client organization selects and contracts directly with the hotel or venue and pays it directly. Individual guests ordinarily contract and pay for their own reservations directly with the hotel.
Who handles attendee reservation changes or refunds?
The hotel ordinarily handles individual reservation changes, cancellations, refunds, and on-property service issues. Flotilla is not a consumer reservation call center, though it may help with an appropriate escalation.
Compensation and portfolio work
How is Flotilla paid?
For qualifying sourcing engagements, the selected property typically pays Flotilla a disclosed commission after completed business. Full-service planning and other work outside that scope may involve separate fees, which are explained before work begins.
Does Flotilla offer a loyalty rebate?
Yes. Organizations that place their full event portfolio with Flotilla receive a loyalty rebate based on completed stays and commission Flotilla receives. The rate is determined with the organization after Flotilla understands the scope and shape of the portfolio.
Does commission affect which property we choose?
Your organization makes the selection and contracts directly with the property. Flotilla’s role is to provide a useful comparison, negotiate for the best available outcome, and disclose the applicable compensation structure.
